The Office Services Assistant is committed to providing premier client service while performing a wide variety of assignments in a team environment. The Office Services Assistant has good communications skills and the ability to prioritize workloads. This position serves as the main point of contact at the front office and maintains the kitchen and office supplies for the office. General duties include managing space reservations, reporting facilities-related issues and providing on-site support and maintenance of workplace technology as needed.

Responsibilities:

  • Maintain quality and readiness of the overall facilities, including room set-ups, breakdown and maintaining office supply inventory levels

  • Act as point of contact for facilities related requests. Provide front office coverage as required, including answering phone calls and routing accordingly

  • Assist with daily mail, Fed Ex, UPS and courier requests

  • Assist with space reservations via hoteling software system for workspaces and conference rooms

  • Provide support for client deliverables as needed, may include scanning, printing and mailing of documents

  • Provide status updates to team members and stakeholder on all projects and applicable tasks

  • Assist with the assignment of security access and distribution of security badges, monitoring employee status and updating security database accordingly

  • Assist with internal meeting and event coordination and set-up, may include placing catering orders and ensuring accuracy

  • Provide basic maintenance and troubleshooting of standard office equipment (e.g., copiers, printers, A/V, desktop equipment and kitchen appliances)

  • Other duties and special projects as assigned

Qualifications:

  • High School Diploma/GED required

  • Minimum of 1 year of related experience preferred

  • Proven commitment to providing exceptional client service

  • Ability to develop relationships, build rapport, and effectively interface with all levels within the firm

  • Strong verbal and written communications skills including the ability to articulate information and respond to questions clearly

  • Strong organizational skills; ability to effectively prioritize assignments and competing deadlines in a fast-paced environment

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint)

  • Strong attention to detail, commitment to producing accurate work in a timely manner

  • Ability to handle sensitive situations and confidential information with discretion

  • May require some overtime hours

  • Ability to travel as needed, approximately 5%
