Role Overview:

To manage IDOC’s vehicle fleet to comply with Department of Administration and State Budget Agency requirements and the agency’s mission and objectives. This position provides and implements an annual vehicle and transportation equipment replacement plan within the guidelines set forth by Agency directives, oversight agencies and current budget restraints.

Salary Statement:

The salary for this position traditionally starts at $53,222.00 but may be commensurate with education or work experience.

A Day in the Life:

The essential functions of this role are as follows:

  • manage the agency’s vehicle fleet to comply with Department of Administration and State Budget Agency requirements and the agency’s mission and objectives

  • provide and implement an annual vehicle and transportation equipment replacement plan within the guidelines set forth by Agency directives, oversight agencies and current budget restraints

  • coordinate and develop specifications of fleet vehicles, equipment, and supplies for the procurement process.

  • coordinate the purchasing and retirement of vehicles and equipment to ensure that proper tracking of fixed assets is being accomplished

  • conduct oversight of vehicle Garage Operations to ensure proper maintenance, repair, and Inspections of IDOC Vehicle Fleet

  • conduct oversight of and ensure accurate entry of required data into the State’s M5 Fleet Focus System to track fleet maintenance and repair cost, fuel cost and vehicle usage

  • revise and update fleet management and vehicle use administrative procedures annually

  • administer the management of the agency fleet fuel cards and ensure compliance with oversight agencies

  • report and distribute quarterly/annual fleet reports for each division to the IDOC Commissioner and Leadership

  • report as needed, with the timely filing of department records to the Department of Administration and other required agencies

  • conduct oversight on the completion of forecasted work request of vehicle maintenance and warranty programs

  • provide subject matter support to Facility Fleet Coordinators, Garage Staff, and asset accountability staff members

  • provide on-going training of staff with regards to the State’s M5 Fleet Focus, Fleet Fuel Card, and the Gauge Smart Hub systems

  • Other Duties as assigned.

What You'll Need for Success:

The ideal candidate in this role should minimally have either

  • a Master’s Degree with 1+ years of experience, or

  • a Bachelor’s Degree with 3+ years of experience, or

  • a Associate’s Degree with 5+ years of experience, or

  • at least 7+ years of experience applying the below, outlined knowledge, skills, and abilities in a similar role.

You must meet the following requirements to be considered for employment:

  • Specialized knowledge in program subject matter obtained through experience and/or education.

  • Specialized knowledge of program area including pertinent rules and regulations.

  • Extensive knowledge of all source materials and references including federal and state laws governing the programs.

  • Ability to develop and implement new principles and policies and discern any far-reaching implications.

  • Ability to communicate orally and in writing.

  • The ability to apply general rules to specific problems to produce answers that make sense.

  • Ability to work effectively with a wide variety of stakeholders.

  • Working knowledge of accounting and budget principles.

  • Ability to delegate work, set clear direction, and manage workflow.

  • Ability to effectively give feedback, provide guidance or corrective action, coach, and develop employee skillsets.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
