Description

We are seeking a detail-oriented and organized Accounting Assistant to join our team. The Accounting Assistant will primarily be responsible for supporting the accounting department in various tasks including accounts payable, accounts receivable, invoice entry, billing, and assisting with ad hoc projects. The ideal candidate will have strong numerical aptitude, excellent communication skills, and a proactive approach to problem-solving.

Key Responsibilities:

Accounts Payable:

  • Process vendor invoices accurately and timely.

  • Match invoices with purchase orders and receipts.

  • Prepare and perform electronic payments and check runs.

  • Maintain vendor files and ensure accuracy of vendor records.

Invoice Entry:

  • Enter customer invoices into the accounting system promptly and accurately.

  • Verify pricing, discounts, and terms on invoices.

  • Communicate with internal departments to resolve any discrepancies.

  • Accounts Receivable:

  • Generate customer invoices and statements.

  • Post customer payments and reconcile accounts receivable ledger.

  • Follow up on past due accounts and communicate with customers regarding outstanding balances.

Billing:

  • Assist in the preparation of client billing statements.

  • Ensure accuracy of billing information and resolve any billing discrepancies.

  • Collaborate with project managers to ensure timely and accurate billing.

Ad Hoc Projects:

  • Provide support on special projects as assigned by the Accounting Manager.

  • Assist in month-end and year-end closing activities.

  • Conduct financial analysis and reporting as needed.

    Requirements

  • Bachelor's degree in Accounting, Finance, or related field preferred.

  • 1-2 years of experience in accounting or finance role.

  • Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, SAP).

  • Strong attention to detail and accuracy.

  • Excellent organizational and time-management skills.

  • Ability to work independently and as part of a team.

  • Strong interpersonal and communication skills.
