Position Overview

The Vendor Management Coordinator will be responsible for identifying and qualifying vendors and subcontractors, preparing and reviewing onboarding documents, and ensuring compliance with contract requirements. You will work closely with multiple internal business functions, including Operations, Safety, and Account Payable, to facilitate smooth vendor onboarding and ensure adherence to business requirements.

Essential Duties & Responsibilities

  • Identify and qualify vendors and subcontractors based on business needs and requirements.

  • Prepare, review, and maintain onboarding documents for new vendors and subcontractors.

  • Review insurance and certificate of insurance (COI) policies to ensure compliance with company standards.

  • Review and interpret contract documents to ensure that all requirements are met.

  • Facilitate collaboration with multiple internal business functions, including Operations, Safety, and Account Payable.

  • Partner with Legal and Safety teams during the new vendor onboarding process to ensure business requirements are met.

  • Create procedure and training guides for vendor/subcontractor onboarding and management processes.

  • Ensure compliance with established processes and policies.

  • Manage and prioritize workload effectively to meet deadlines and business objectives.

  • Track and manage reports, milestones, and project activities to ensure successful project completion.

Required Skills/Abilities

  • Bachelor’s degree in business, Supply Chain Management, or a related field. Advanced degree preferred.

  • Proven experience in vendor management, subcontractor management, or a related role.

  • Strong understanding of contract management and legal requirements.

  • Excellent communication and negotiation skills.

  • Strong attention to detail and organizational skills.

  • Ability to work collaboratively across various internal teams and functions.

  • Familiarity with insurance and COI policies is a plus.

  • Proficiency in project management and reporting tools.

  • Ability to adapt to changing priorities and manage multiple tasks effectively.

  • Basic Math skills and data entry skills

  • Ability to work on tight deadlines - excellent time management skills are essential

  • Valid driver’s license required

  • Applicants must submit to a drug test & criminal background check

Physical Requirements

  • Must be able to perform the essential job functions of the position – withstand extreme weather conditions, extensive walking or time spent standing, ability to bend, twist, push, pull, lift 50 lbs.

  • Work is performed both indoors and outside in the elements

  • Mobility required within an office, warehouse, and construction site environments

  • Prolonged periods sitting at a desk and working on a computer

  • May experience long hours of standing and moving
