Job Description

The Senior Vice President of Operations is responsible for leading the team that handles our client’s day-to-day operations and media support, reporting into the EVP of Operations. The SVP develops and implements processes and best practices to ensure client success. The role will focus on three areas of operations, and is responsible for the holistic Operations of the client, and directly client facing with their peers on the client team. This role needs to deliver proactive solutions to problems that are identified, and “see around corners” to mitigate risk before it happens. This role is a key member of the Inspire leadership team, and of the agencies Operations senior leadership organization.

Responsibilities, this may include direct/hands on work or oversight of the teams underneath to ensure delivery:

  • Client Operations:

  • Ensure delivery of “Relentless Standardization’ across IME portfolio

  • Manage the Operations project portfolio and prioritization to ensure it continually aligns with the account priorities

  • Client POC for Legal and Procurement.

  • Work with the Client Lead on SOW Management, including staff management, hires and rotations.

  • Creation and Maintenance of Org charts, Distro Lists and Team Database

  • Management of staff plans in ROAR System

  • Facilitate Inter-Agency collaboration

  • Develop the account playbook to bring the client Scope of Work to life for the team

  • Facilitate new team member onboarding, including developing client specific materials

  • Support on building content for client presentations and QBRs

  • Financial Operations

  • Manage the Authorization approval structure, following the process and hierarchy dictated by the client

  • Own the financials for clients, including forecasts, budgets and investments – ensuring that key financial responsibilities are mutually understood and agreed upon

  • Be the main point of contact for monthly Authorize FMC reporting

  • Partner with client finance to ensure billing is accurate each month, managing the draft billing process, and follow up with the clients if payments are needed.

  • Investment Operations

  • Ensure all tools are set up for the client and new team members, including but not limited to, MediaOcean, MediaTools, Authorize, Tardiis, Scenario Planner, NMI, GWI, etc.

  • Share ideas and solutions for pain points/problems in processes; work alongside internal and external teams to develop best practices, enhancements, and tools to improve them

  • Build and maintain the MediaTools nomenclature of the strategy team

  • Maintain the taxonomy to be used in MediaTools for the upcoming year

  • Manage Invoice reconciliation process and ensure we are adhering to client MSA terms.

  • Partner with the Investment team on adhering to Digital Standards/Practices

  • Digital Tax Oversight including quarterly Reporting

Qualifications

  • Experience working in an Operations role at a Media Agency in both Client and Media/Investment Operations

  • 10+ years of progressive work experience in media and advertising and 5+ years of management experience.

  • Ability to work independently and collaboratively with diverse groups

  • Exceptional critical thinking and problem-solving abilities with the ability to think unconventionally in proposing solutions

  • A proven ability to multi-task and manage multiple projects effectively and work well under pressure to deliver high-quality work within tight deadlines

  • Strong attention to detail

  • Proven experience in effectively coaching and developing others

  • Experience with Client Transition/New Business Transitions is a plus.
